This Privacy Policy describes how Only Holoz LLC ("we," "us," or "our") collects, uses, and protects information in connection with Scout, our AI assistant for residential and light-commercial home services contractors.

Who we are

Information we collect

We collect information needed to schedule, service, and bill home services work on behalf of the contractors who use Scout:

• Contact information - name, mobile phone number, email address, and service address, provided by the customer to the contractor when requesting service.
• Service records - appointments, work performed, equipment serviced, estimates, and invoices.
• Communications - text messages, calls, and messages exchanged with the contractor through Scout, retained so the contractor has a record of the work.
• Technical information - standard log data such as timestamps and delivery status for messages we send.

How we use information

We use this information solely to operate the contractor's business communications: confirming and reminding customers of appointments, notifying them when a technician is en route, following up on estimates the customer requested, sending reminders about open invoices for work performed, and responding to customer questions.

Mobile information and text messaging

Mobile phone numbers are used only to communicate with the customer about their own service with the contractor they contacted. Customers may opt out of text messages at any time by replying STOP, and may reply HELP for assistance. See our Terms and Conditions for full program details.

How we share information

We do not sell personal information. We share information only:

• with the contractor whose customer you are, which is the purpose of the service;
• with service providers that operate the platform on our behalf, such as telecommunications carriers and messaging providers used to deliver messages, and cloud hosting providers, each bound to use the information only to provide their service to us;
• where required by law, or to protect the rights, safety, or property of our customers, our contractors, or the public.

Mobile opt-in data and consent records are excluded from all sharing, including with service providers for their own purposes.

Data retention

We retain service and communication records for as long as the contractor maintains an active account with us and as needed for their business records, tax, and legal obligations. Opt-out records are retained indefinitely so that a request to stop messaging is permanently honored.

Security

Each contractor's data is stored on that contractor's own isolated instance. We use industry-standard technical and organizational safeguards, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your choices

To stop receiving text messages, reply STOP to any message. To request access to, correction of, or deletion of your information, contact us at support@ontrail.ai or contact the contractor you do business with directly. Depending on where you live, you may have additional rights under applicable law, including the right to know what information we hold and to request its deletion.

Children

Our services are directed to businesses and their adult customers. We do not knowingly collect information from children under 13.

Changes to this policy

We may update this policy. Material changes will be reflected by a revised effective date at the top of this page.
